The phone is the most intimidating tool in car sales for many salespeople — and the most underused by almost everyone. A well-handled phone call turns an internet lead or a cold prospect into a showroom visit. A poorly handled one ensures they never walk through your door.

Here's how to get comfortable on the phone and get more customers onto your lot.


Why Most Salespeople Avoid the Phone

It's simple: fear of rejection. On the lot, you can read body language, adjust your approach, and build rapport face to face. On the phone, all you have is your voice — and the fear that the person on the other end will hang up.

Here's the truth: the phone is actually easier than the lot in one critical way. On the phone, you control the interaction. You can have scripts. You can have notes in front of you. You can practice. The customer can't see you, which means they can't see if you're nervous.


The First 10 Seconds

The opening of a phone call determines whether the conversation continues. Sound rushed or robotic, and they'll end the call. Sound warm and professional, and they'll engage.

Script for outbound calls:

"Hi [Name], this is [Your Name] from [Dealership]. I'm calling because [specific reason]. Do you have a minute?"

Three parts: who you are, why you're calling, and permission to continue. That third part is critical — it shows respect for their time.

For inbound calls:

"Thank you for calling [Dealership]. This is [Your Name]. How can I help you today?"

Say it with energy. Smile while you talk — it changes your tone, and callers can hear the difference.


The Goal of Every Phone Call

Your goal on the phone is not to sell a car. It's to get them into the dealership. Everything you say should move toward setting an appointment.

  • Don't give out your best price over the phone — you lose all leverage.
  • Don't answer every question in exhaustive detail — leave reasons for them to visit.
  • Do confirm the vehicle they're interested in is available.
  • Do set a specific appointment time: "Can I put you down for Tuesday at 2 PM?"

Handling Common Phone Objections

"Just give me your best price."

"I'd love to make sure you get the best possible deal. To do that, I need to understand exactly which vehicle and which options fit what you're looking for. What time works for you to come by and take a look?"

"I'm just calling around."

"Totally understand — you want to make an informed decision. What questions can I answer right now to help you narrow things down?"

"I'll call you back."

"I appreciate that. Just so I can be ready for you, is there a specific vehicle or price range you're working with?"


Voicemail That Actually Gets Returned

Most voicemails get deleted within seconds. To get a callback, your voicemail needs to stand out.

Effective voicemail structure:

  • Your name and dealership
  • One specific, intriguing detail about the vehicle they're interested in
  • A clear, low-pressure call to action
  • Your number (said slowly, twice)

**Example:** "Hi Sarah, this is Mike at Champion Motors. I noticed you were looking at the 2026 RAV4 Hybrid — we just got one in that exact color you mentioned. Give me a call at 555-0123 — again, 555-0123 — and I can tell you more about it. Thanks."


Practice Makes Permanent

The only way to get better on the phone is to make more calls. Role-play with a coworker. Record yourself (with permission) and listen back. You'll hear habits you didn't know you had — filler words, rushed speech, monotone delivery.

Set a goal: make 10 outbound calls before lunch every day. Not emails. Not texts. Calls. Your phone skills will improve faster than you think.
